Last updated: [DATE TO BE ADDED]
Draft. The placeholders in square brackets must be filled in, and the whole text should be reviewed by a lawyer before the site is promoted.
1. Who is responsible for your data
The data controller is [COMPANY NAME TO BE ADDED], [COMPANY ADDRESS TO BE ADDED], [REGISTRATION NUMBER TO BE ADDED].
For any question about your personal data, email [EMAIL ADDRESS TO BE ADDED].
2. What we collect
Through the early access form we collect only what you type in:
- your first name,
- your company name and industry,
- your email address,
- your phone number, if you give it,
- the approximate number of salespeople in your company,
- which consents you gave and when you sent the form.
We do not ask for special category data, such as health information.
3. Why and on what legal basis
- Contacting you about early access and a demo. Based on your consent (Article 6(1)(a) GDPR).
- Product news about Syntrio. Only if you tick the second, optional box (Article 6(1)(a) GDPR and the rules on electronic marketing).
- Showing that consent was given and defending possible claims. Based on our legitimate interest (Article 6(1)(f) GDPR).
4. How long we keep your data
We keep the form data until you withdraw your consent or for [PERIOD TO BE ADDED, FOR EXAMPLE 12 MONTHS AFTER THE SYNTRIO LAUNCH], whichever comes first. We may keep the record of your consent for longer if we need it to show that consent was given.
5. Where your data goes
This site does not store submissions in a database or in files on the server. The form sends them by email to the controller's mailbox.
Service providers may process the data on our behalf: website hosting and email ([HOSTING AND EMAIL PROVIDER TO BE ADDED]). We do not sell your data and we do not share it with other companies for their own marketing.
Transfers outside the European Economic Area: [TO BE ADDED: WHETHER DATA LEAVES THE EEA OR UK, WHERE TO AND ON WHAT BASIS].
6. Your rights
You have the right to access your data, to correct it, to have it erased, to restrict processing, to data portability and to object. You can withdraw any consent at any time by emailing the address in section 1. Withdrawing consent does not affect anything we did lawfully before.
You can also complain to a supervisory authority: [UK INFORMATION COMMISSIONER'S OFFICE OR THE POLISH UODO, DEPENDING ON WHERE THE CONTROLLER IS BASED].
7. Do you have to give us your data
No. Without your first name, company name, industry, email address and consent to contact, however, we will not be able to get in touch. Your phone number and consent to product news are optional.
8. Cookies, analytics and spam protection
This site uses no cookies, no analytics tools and no third party scripts.
To protect the form against spam, the server keeps the time a form was sent, linked to a hash of the IP address, for at most one hour. It does not keep the content of the form.
The hosting provider may keep technical server logs, such as IP addresses and visit times, for security. [LOG RETENTION PERIOD TO BE CONFIRMED WITH THE HOSTING PROVIDER]
9. Automated decisions
We do not make decisions about you based solely on automated processing and we do not profile you.
10. Changes to this policy
If we change how we handle data, we will update this page and the date at the top.
